As an Operations Specialist you will work under light supervision to support Services Opportunities and Projects of small to mid-size. You will be part of a services organization that coordinates services projects, driving customers' value realization. The Operations Specialist supports the Services Engagement Lifecycle from opportunity to booking and from order to execution and acts as a point of contact for Engagement Managers, Project Managers, Resource Managers, Services Business Managers, Service Delivery Resources, Finance, Legal, Global Order Management, Procurement, Accounts Receivable and Credit and Collections.
Responsibilities:
Support Engagement Managers through services lead to order including vetting requirements, ensuring alignment of pricing with the finance team and proposal preparation needs with the proposal team
Manage vendor processes from solicitating quotations with the procurement team through award of purchase order
Administrate the Project manager's duties of planning, budgeting, overseeing and documenting all aspects of the project
Monitor pending customer project billing and support Project Manager with acquiring acceptance documentation for billing
Review and audit travel billings against FTR regulations
Support Project Manager with making Budget and Budget Line-Item funding re-allocations
Support Project manager to manage and resolve issues with all necessary internal and external partners
Discuss with Project Manager how to manage project funding balances and close projects using the project closeout process
Support the organizational culture, values and reputation in company markets and with all staff, customers, suppliers, partners and regulatory/official bodies.
Adhere to, and promote all core internal and customer processes relating to the effective undertaking of the role
Ensure that all communication channels within the business are adhered to.
Provide input, where appropriate to team meetings.
Undertake any business administration in line with job activity
Undertake any other duties required by the company.
Qualifications:
Bachelor's Degree in Business Administration or Project Management or equivalent years of experience .
Minimum four (4) years in project coordination or administration experience or equivalent Project Support Experience
Three (3) years of experience working in a customer-facing environment
Working knowledge of the administrative functions of the Services business including project setup, contract structure, progress reporting, revenue recognition and billing.
Experience with US Federal Government projects, contracts, policies and procedures.
Experience in identifying and implementing cost savings measures within services projects.
Leadership skills and proven track record of managing multi-disciplinary teams, including services delivery and project management.
Excellent analytical and problem-solving skills
Excellent written and verbal communications with the ability to present complex issues to multi-level audiences of company and government executives.
Ability to effectively communicate progress, status and issues to internal and external customers.
Ability to obtain and meet Business goals and results
Ability to promote complex solutions and drive acceptance with confidence
Knowledge and ability to deliver goals effectively and drive the project to success with a sense for urgency.
Willingness and the ability to travel to appropriate work location, as required.
Willingness and the availability to work the core hours required by the specific project and per company policy.

Security Clearance
United States Citizen with the ability to obtain and maintain a U.S DOD Government Security Clearance
